QR code for wedding photos: a complete guide for photographers
A QR code is the simplest way to put every guest one scan away from their photos. These are the practical details that decide whether guests actually use it.
Where to place the QR code
- At the entrance or welcome board, so guests see it early and the habit forms.
- On reception tables (a small card per table): guests have time to scan while seated.
- At the bar, dessert counter or photo booth, where people queue and have their phones out.
- On the invitation or a thank-you card, so guests can come back later.
Size and print quality
- Print the QR at least 2 cm wide on small cards, and larger (10 cm or more) for standees.
- Use dark on light with a clear empty margin around it. Phone cameras do not read light QR codes on dark backgrounds reliably.
- Print from the vector or high-resolution file, never from a screenshot.
- Test it with two different phones before the event.
Make people want to scan
- Add one short line: "Scan, take a selfie, get your photos."
- Have the host announce it once during the evening.
- Upload a first batch the same night so the first scans show real photos.
Fixed QR vs a new QR for every event
A fixed QR that you print once and point at the current event saves reprinting and lets you reuse standees and cards. Put each new event live on the QR when it starts, and end it when the guest window closes.
How long to keep it live
Most guests look in the first few days. Keep the event open for at least a few days (many studios choose one to two weeks) and let guests download in good quality. After the window, end the event; the QR becomes free for your next one.
Common mistakes
- QR printed too small or on a glossy surface that reflects light.
- No instruction next to it, so guests don't know what it does.
- Uploading photos only after weeks, when interest has faded.
- Forgetting a short selfie tip: face the light, remove sunglasses, hold the phone at eye level.
Photographers: protect your clients' privacy
Choose a platform where guests only receive their own photos on private events, where the selfie never leaves the guest's phone, and where face data is removed automatically. It makes clients comfortable and keeps you on the right side of their expectations.
